Policies
A non-refundable $500 deposit is required to reserve your spot on any Wildcrafted Adventures trip. You must pay this deposit through the checkout link on our website; we will collect important information from you at checkout and will contact you within 1 week to coordinate the remainder of your trip payment(s) according to our Payment Options policy below.
Trips are not considered fully confirmed until we reach our six-person minimum. If this minimum is not met at least 2 months prior to the trip start date, the trip may be canceled. In this case only, your $500 deposit and any other payments towards the trip will be refunded in full.
Because of this, you should wait to purchase your airfare or make other non-refundable travel arrangements until we notify you that your trip is fully confirmed.
Deposit & Booking
Once your deposit is received and your spot is held, you may pay your remaining balance in one of the following ways:
Pay in Full: Submit the full trip cost in a single payment.
Monthly Installments: Payments can be automatically charged to a credit card or bank account
Payments are subject to the following fees:
Credit Card: Subject to a 2.9% processing fee.
Bank Account (ACH): No processing fee.
All payments must be completed in accordance with the payment schedule provided at booking.
Payment Options
All participants must purchase travel insurance that includes coverage for trip interruption, cancellation, medical emergencies, and evacuation. Proof of insurance is required prior to departure.
Wildcrafted Adventures is not liable for any losses, expenses, or costs you may incur if you need to cancel your participation for any reason. This applies regardless of whether your travel insurance does or does not cover your cancellation or reimburses you in full.
Travel Insurance
Because our trips are intentionally intimate and require substantial advance planning and non-recoverable costs, all sales are final. We do not offer cancellations, refunds, or credits for any reason, including illness, scheduling conflicts, travel delays, or changes in personal circumstances.
If you choose a monthly payment plan and attempt to cancel before your installments are complete, the full remaining balance of the trip will become immediately due and will be charged to the payment method on file.
If Wildcrafted Adventures cancels a trip, due to not meeting minimum enrollment or for any other internal reason, you will receive a full refund of all payments made.
Cancellations & Refunds
If you can no longer attend your trip, you may request to transfer your spot to another person.
All transfers must be:
Requested in writing, and
Approved by Wildcrafted Adventures on a case-by-case basis.
Transfer approval is not guaranteed, and additional requirements may apply depending on the trip.
Ticket Transfers
Wildcrafted Adventures reserves the right to modify, adjust, or substitute any part of the itinerary at any time. Changes may occur due to weather, safety concerns, availability shifts, local conditions, or other factors beyond our control.
These adjustments are made to protect the quality and safety of the experience.
Such itinerary changes do not entitle participants to refunds, credits, or compensation of any kind.

These Terms of Service (“Terms,” “Agreement”) govern your participation in any trip, retreat, or experience (“Trip”) offered by Wildcrafted Adventures (“we,” “us,” or “our”). By booking a trip with us, you acknowledge that you have read, understood, and agree to be bound by these Terms.
1. Eligibility & Participant Requirements
Participants must:
Be at least 21 years of age (unless otherwise specified for a specific trip).
Accurately represent their health, fitness level, and ability to participate in included activities.
Disclose any medical conditions, allergies, or mobility concerns that may impact participation or require accommodations.
We reserve the right to decline participation to anyone whose behavior or condition may pose a risk to themselves, other guests, or our team.
2. Deposits & Booking
A non-refundable $500 deposit is required to reserve your spot on any Trip. Your booking is not confirmed until this deposit is received.
Trips are not considered fully confirmed until at least six participants have booked. If the minimum is not met 2 months before the scheduled start date, the Trip may be canceled. In this case only, deposits and any other trip payments made will be refunded in full.
Participants must wait to purchase airfare or other non-refundable travel arrangements until they receive written notice that the Trip is fully confirmed. Wildcrafted Adventures is not responsible for any travel costs incurred prior to official confirmation.
3. Payment Options
3.1 Pay in Full
You may pay the full Trip cost after deposit confirmation. Payments can be charged to:
Credit Card, subject to a 2.9% processing fee, or
Bank Account (ACH), with no processing fee.
3.2 Monthly Installments
You may choose monthly automatic payments, charged to:
Credit Card, subject to a 2.9% processing fee, or
Bank Account (ACH), with no processing fee.
Payment schedules are provided at booking and must be adhered to.
3.3 Responsibility for Remaining Balance
All sales are final. If you attempt to cancel your participation while on a monthly payment plan, the full remaining balance immediately becomes due and will be charged to the payment method on file.
4. Cancellations, Refunds & Transfers
4.1 Participant Cancellations
Wildcrafted Adventures does not offer cancellations, refunds, credits, or partial refunds for any reason, including but not limited to:
Illness or injury
Scheduling conflicts
Travel delays or missed flights
Personal emergencies
Changed circumstances
4.2 Trip Cancellations by Wildcrafted Adventures
If we must cancel a Trip due to:
Low enrollment (fewer than six confirmed guests), or
Any internal operational reason
You will receive a full refund of all payments made to us. This is the extent of our liability; we do not reimburse external expenses such as flights, lodging, or insurance premiums.
4.3 Transfers
Participants may request to transfer their Trip spot to another individual. Transfers:
Must be requested in writing
Are not guaranteed
Must be approved by Wildcrafted Adventures on a case-by-case basis
Additional requirements may apply depending on the Trip.
5. Required Travel Insurance
All participants must purchase travel insurance that includes:
Trip cancellation and trip interruption
Medical emergencies
Evacuation and repatriation
Lost luggage
Proof of insurance must be provided prior to departure. Wildcrafted Adventures is not liable for any losses, costs, or expenses if you cancel or cannot attend your Trip — whether or not your insurance reimburses you. Your insurance coverage is a contract between you and the insurance provider.
6. Itinerary Flexibility & Changes
We strive to deliver every Trip exactly as described; however, itineraries may be adjusted when necessary.
We reserve the right to modify, substitute, or adjust any portion of the itinerary due to:
Weather
Natural conditions
Safety concerns
Vendor or partner availability
Local regulations
Situations beyond our control
Such changes do not entitle participants to refunds, credits, or compensation.
7. Assumption of Risk & Personal Responsibility
By registering for a Trip, you acknowledge that adventure travel carries inherent risks, including but not limited to physical activity, varying terrain, weather conditions, transportation, food allergies, wildlife exposure, and other unpredictable circumstances.
You voluntarily accept full responsibility for:
Your own safety
Your physical capability to participate
Any consequences resulting from your actions or decisions
You agree to follow all instructions and safety guidance provided by Wildcrafted Adventures staff and local partners.
8. Liability Waiver
To the maximum extent permitted by law, Wildcrafted Adventures is not liable for:
Injuries, illnesses, or medical conditions
Property loss, theft, or damage
Travel delays or disruptions
Acts of nature or government
Third-party negligence
Personal expenses incurred as a result of itinerary changes, cancellations, or delays
Some jurisdictions may not allow limitations on liability; in such cases, our liability is limited to the maximum extent permitted by applicable law.
9. Participant Conduct
Wildcrafted Adventures reserves the right to remove any participant from a Trip, without refund, if their behavior:
Endangers themselves or others
Disrupts group harmony
Violates local laws
Interferes with the experience of other participants
All associated costs (e.g., alternate lodging, transportation) are the responsibility of the participant.
10. Media Release
By participating, you grant Wildcrafted Adventures permission to use photographs, videos, and testimonials that include you for marketing, promotional, and commercial purposes.
If you prefer not to be included in media, you must notify us in writing prior to the Trip, and refrain from joining us in group photos or videos during the trip.
11. Governing Law
These Terms are governed by the laws of the state in which Wildcrafted Adventures is registered. Any disputes shall be handled exclusively within that jurisdiction.
12. Arbitration Agreement & Class Action Waiver
12.1 Agreement to Arbitrate
Any dispute, claim, or controversy arising out of or relating to your Trip, these Terms, payments, cancellations, participation, or any interaction with Wildcrafted Adventures (collectively, “Claims”) shall be resolved exclusively through binding individual arbitration, rather than in court. This includes disputes based on contract, tort, statute, fraud, misrepresentation, or any other legal theory.
12.2 Arbitration Rules
Arbitration will be administered by the American Arbitration Association (“AAA”) under its Consumer Arbitration Rules. The arbitration will take place in the state in which Wildcrafted Adventures is registered, unless both parties agree to a different location. The arbitrator’s decision shall be final and binding.
12.3 Exceptions
Either party may bring a Claim in small claims court if the Claim qualifies. This arbitration provision does not require arbitration of claims relating to intellectual property rights or requests for injunctive relief.
12.4 Class Action Waiver
You and Wildcrafted Adventures agree that each may bring Claims only in an individual capacity and not as a plaintiff or class member in any purported class or representative action. The arbitrator may not consolidate multiple parties’ claims or preside over any form of class or representative proceeding.
12.5 Governing Law of Arbitration Agreement
This Arbitration Agreement is governed by the Federal Arbitration Act (“FAA”), and not state arbitration laws, to the fullest extent permitted by law.
13. Acceptance of Terms
By booking a Trip with Wildcrafted Adventures, submitting payment, or participating in any Trip activities, you acknowledge that you have read, understood, and agreed to these Terms of Service.
